How can an MSP or MSSP win new clients with cold email?

By Christian Terrone, founder of Astrid Labs·Updated ·6 min read

The short answer

Pick a narrow set of buyers by size, industry and location, open with a line about the pressure their industry faces, and ask one simple question. Send only to verified addresses, from warmed domains in your company's name. Then judge each campaign by the calls and assessments it books, not by opens.

Who should an MSP target with cold email?

Companies small enough that the owner or office manager still makes the IT decision.

A 25-person accounting firm or medical practice has real IT needs and no IT department. The person who reads your email is often the person who signs.

Larger companies are harder. They have IT staff, procurement, and email gateways that block cold mail before a person sees it, which is the same pattern behind most of the bounces we have traced in our own campaigns.

What should an MSP's first cold email say?

One line about their industry's pressures, one line about how you help firms like theirs, and one question.

Owners hear from IT providers all the time, so a generic offer of managed services blends in. A line about something true in their world, like a new compliance requirement or the cost of downtime in their trade, shows you know their business.

Close with a question they can answer in a word, such as whether they would be open to a second opinion on their setup.

Should an MSP lead with cybersecurity threats?

Lead with the buyer's business, and bring security in as what protects it.

Breach statistics from a stranger read as a scare tactic. Owners respond better to lines about keeping their business running and their clients' data safe, because those are things they already care about.

How many cold emails should an MSP send a day?

A modest number per inbox, spread across several warmed inboxes.

Volume comes from more inboxes, never from pushing one inbox harder. Each inbox sends a small daily number, and every new domain warms for at least 21 days first.

For a local MSP, a few hundred well-chosen companies a month makes a stronger campaign than a bought list of thousands.

How should an MSP measure a cold email campaign?

Count the calls and assessments each campaign books, and compare segments.

Track results by industry, company size and city. The segment that books calls tells you where to send more, and the one that only produces polite replies tells you where to stop.

Frequently asked questions

Is cold email legal for MSPs in the US?

Yes. B2B cold email is legal in the US under CAN-SPAM when you use accurate sender details, include a real business postal address, give an easy way to opt out, and honor opt-outs promptly. This is general information, not legal advice.

Should an MSP send cold email from its main domain?

No. Use separate sending domains in your company's name so your client support email never lands in spam.

Can Astrid Labs run cold email for an MSP?

Yes. We build the buyer list, verify every address, warm the sending domains in your name, and write and run the campaigns. Your team answers the replies and takes the calls.
