How does done-for-you cold email work, week by week?
The short answer
Week one ends with a written plan: who you will reach, what the first email says, and how results are judged. The buyer list is built and verified while new sending domains warm for at least 21 days. The first live emails go out in week four, and from then on the campaign is tuned every week on booked calls.
What happens in the first week?
A planning conversation that ends with a written plan, so everyone knows who the campaign is for and how it will be judged.
We look at your current pipeline, the clients you want more of, and your offer. The plan names the buyer by title, company size, industry and location, plus the moments that make them more likely to listen, such as a new hire, a funding round or a new rule in their industry.
The plan also sets the scorecard. We judge campaigns by booked calls, not by opens or replies. In one of our own tests, three versions of a campaign drew about the same number of replies, and one of them booked 7 of the 11 calls.
How is the buyer list built?
From LinkedIn Sales Navigator, filtered against the plan, with every address found and verified before it is used.
Every person on the list is checked against the plan, and companies that do not fit are cut. Each work address is verified at the moment it is found, and an address that does not match the person or their company is pulled.
The list matters more than any other choice. In our own campaigns, the same email sent to a different month's list drew about a third as many replies.
Why do the first emails wait until week four?
Every new sending domain warms for at least 21 days, so mailbox providers trust it before a single live email goes out.
Campaigns never send from your main domain. We set up separate domains and inboxes in your company's name and let them build a normal sending history first.
The 21 days are a floor, not an estimate. Skipping them is the fastest way to land in spam, and it puts a domain with your name on it at risk.
- Sending domains registered in your company's name
- Several inboxes per domain, each sending a small amount every day
- SPF, DKIM and DMARC records on every sending domain
- The first email and its follow-ups, written for your market
What happens when the campaign goes live?
The first emails go out in week four at a safe daily volume, spread across several inboxes.
Each inbox sends a modest number a day. Volume comes from adding inboxes, never from pushing one inbox harder.
Each lead gets a short sequence: a first email written for their market and a few follow-ups spaced days apart, each adding something new. The first email deserves most of the effort. In our own campaigns, first emails have drawn about twice as many interested replies per person as follow-ups.
Who answers the replies?
You do. Replies land in one shared inbox you can open at any time, and you take the calls.
Nobody knows your service like you, so the conversation stays with you. We keep the sending, the lists and the tuning running, and every reply and contact is tracked so you can see who to call first.
How is the campaign improved after launch?
Every week we compare booked calls by segment and move volume toward the buyers who book.
We split results by industry, company size and location. The segment that books calls gets more volume. The one that only sends polite replies gets a new first line or gets cut.
We also watch bounce rates and spam signals every day. A rising bounce rate usually points to one part of the list, and that part comes out before it can hurt the domains.
Frequently asked questions
How long until the first sales call?
The first live emails go out in week four. Replies and calls follow from there, and every campaign is judged on the calls it books.
Do I send anything from my own email address?
No. Campaigns send from separate domains in your company's name, so your everyday email is never touched.
Who owns the domains and the contact data?
You do. The domains, the inboxes and the contact data are yours. The system we build to run them stays ours.
